Room Share Agreement

Thank you for your interest in traveling with us. We are more than happy to add your name to the Room Share Program. As others express interest in sharing accommodations, we can begin the process of matching you with a Room Share.

In order for us to complete your Room Share request, we ask that you review the terms of the Room Share Program explained below. Completing the Room Share Agreement request simply places you in the program, however, it does not guarantee a room share match or reservation.

I understand and acknowledge the following:

1. If my roommate chooses to find their own roommate or needs to cancel for any reason, FIRM will attempt to rematch me with another roommate. If FIRM is unable to rematch me with a roommate, I will be responsible for any resulting single occupancy rate increase as I will be traveling as a single occupant.
2. If I cancel due to the increased single occupancy rate, I will be subject to the cancellation policy outlined in the ‘Terms and Conditions’ document.
3. The roommate I am matched with is not responsible to assist me should I have any medical or personal needs. I understand that should my circumstances require separate accommodations it will be at my own expense.
4. The roommate I am matched with may have their own plans throughout the event, or may be traveling with family or friends, and may not be seated with me during dinner or join me for events.
5. FIRM will match me with someone of the same gender and try to match me with someone as close to my age as possible.
6. Purchasing travel insurance is my responsibility, including researching all cancellation reasons and coverage provided by an insurance company.
7. FIRM will only release my contact information to my assigned roommate if I agree. Although I may agree to release information to my roommate, I understand that my roommate may decline to have their contact information released and may choose not to contact me before the tour.
